MedBridge HEP is relatively new and probably one of the best online HEP

    Elias commented  ·

Have you looked into PhysioTec? They are by far the best HEP to integrate with the web version of TheraOffice. PhysioTec's library of HEP and professionally shot photos and videos are available for print, email, or direct web access.

    Elias commented  ·

Auto launch BioEx Exercise Pro from TO pushing patient demographics. Then saving HEP pdf in TO. According to website FAQ...

Will Exercise Pro work with physical therapy documentation software?
Yes, Exercise Pro links directly with several documentation programs (see website for details) and can export exercise handout history into a format that can be attached to almost any EMR.

    Hope this helps.

    Elias commented  ·

We use BioEx which is a great value and has the most extensive pediatric library of all the systems tested. BioEx has a server license for number installation and unlimited users. Integration would go a long way to keeping our documentation in sync.

Filling out part of the subjective (chief complaint, pain, meds, etc) would be extremely helpful. We do pediatric and having developmental information (sitting, rolling, etc) entered by patient would be a huge time saver.

In regards to the demographics, we use to print out a custom intake form with patients insurance and demographics pre-populated and all they had to due is verify their information. Every time there was an error in address or insurance (even date of birth) the patient just signed it verifying it was correct. No worries, though, the insurance company will let you know something is wrong when they deny your claim.

    Elias commented  ·

Great idea. Please be sure to include an option for filling out demographics and patient history online too.

I really dread looking at my patient outstanding balance! With the Coinsurance/Deductible estimator, which in general I like but it can be improved upon, I now have a lot of unbalanced dates of service. Some with credit and other with a portion of the outstanding balance. I either have to manually add all the credits and debit and balance it out or remove ALL the coinsurance payments and apply them as regular patient payment to apply payments across more than one DOS. Removing the coinsurance payment will add credit to the account which can be applied to other dates but if you don't apply it then there is no way of know that you have credit on a patient's account without opening it. Meaning that if you print out statements the patients credit will not show up. So if you're going to have to play around with moving CoIns/Copay payment around to balance out your statement, make sure it's uninterrupted time.

    Elias commented  ·

This one has been a problem on more than one occasion. The solution was to split the copay paid into payments that equal the copay due. This was not a good solution because I no longer carry accurate transaction records in TO. Instead I have to depend on notes explaining why the dollar amount recorded is different from what the patient actually paid.

Finally, after year of using TO I started to take patient pictures for their profile only to realize that you have to right click on patient schedule, open navigator, then click on patient information just to see the picture (or in my case just to see if I've already taken their picture).

Once again I've encountered a dozen cases where it would be helpful to enter payments through the scheduler. Requiring the front office staff to open Accounting to accept payment payments assume that you want and are allowing them full access to your AR and the ability to accidentally delete something. The alternative is to allows pull the billing person just to accept patient payment which is not always possible in multiple office setup

    Elias commented  ·

When patients enter the office with payment in hand we need to accept payment, enter it into TO, and provide a receipt for payment whether it's a copay or from a statement (deductible or co-insurance). This feature should be added and made accessible through security groups as suggested. Currently the options are to accept payment for copays and equipment sales in the scheduling module. Why not all other payments too.

Icons have been great but please add the ability to define the appointment type within the patient navigator. This feature has been requested several times over the last couple of years under different headings with only a handful of votes each. Combining all the requests may make it more apparent that this would be a desired and useful tool. Modifying the code used on the icons should make it relatively easy to implement.

Just wanted to revive this feature request. Perhaps combine this with a wait-list feature. It would be great if you have the option of viewing all available appointment by therapist, view for specific day or time, and add on a waiting list for time not available at the moment.

Since the last update included contact information and other information tabs in the Patient Information, you can add a parent/guardian tab with a check box if parent is guarantor. I think have an option to include SSN is a good idea even though we don't collect SSN from patients or guarantors. That's an additional liability I don't want to take on. Similar to not storing credit card numbers within TO, I don't want to have SSN numbers and risk an extremely unlikely security breach. Those accounts sent to collections didn't have any problems collecting without SSN.

    Elias commented  ·

In the guarantor field, can you add the button to automatically add the contact information from the patient info like in the insurance form. Usually, the address and phone number is the same especially when the patient is a minor. Thanks

I don't know if you still have this problem but I have encountered the same frustration in the past. I have a solution for you. You can actually open up a second window in accounting by going by minimizing accounting and double-clicking your desktop shortcut or under the start menu. You'll have to log in again in the new window but you'll be able to have two accounting modules opened at the same time. I'm running on windows 7 and have not tried it on XP. Hopefully this will work for you too.

Unfortunately, OfficeAlly doesn't have an file upload for eligibility. So hopefully down the road an file upload through TO will be supported or access to their database/engine to directly check eligibility within TO.

    Elias commented  ·

That's great, Ryan. Thanks for following up with OfficeAlly. Auto upload of claims and download of ERAs is a great start. If I could recommend that an additional feature is integrating the eligibility request either batching patients daily (preferred) or one at a time during patient check-in. OfficeAlly offers real-time eligibility check online but getting that information through TO would work best.

    Elias commented  ·

I think the largest and ONLY bill I've had was around $3. The charge was for mailing a few paper claims for about $0.60 each. A tech support at OfficeAlly mentioned that they had a few TO users. I would like to hear from other user to rally some support.
